We are seeking a meticulous Accounts Payable Supervisor/Manager to join our team at our education institution located in Pomona, California. This role involves overseeing the Accounts Payable department and administering the disbursement of all payments, including vendor payments, employee reimbursements, student tuition refunds, and other auxiliary vendor payments. It is crucial for this role to ensure all departmental priorities, accounting, and reporting requirements are met timely and efficiently.

Responsibilities:

• Manage and supervise the Accounts Payable area of the department, ensuring efficient and effective operations.

• Handle customer vendor relations and the administration of the Accounts Payable staff.

• Address internal controls to mitigate inappropriate use of funds and comply with various policies and regulations.

• Support the allocation of resources to process disbursements of the university's funds.

• Provide management support for all payments of the university’s funds including vendor payments, employee reimbursements, and student tuition refunds.

• Monitor and provide support to ensure all departmental priorities, accounting, and reporting requirements are met.

• Collaborate with various offices including Procurement, Auxiliary Services, support departments, and the Colleges.

• Work closely with outside vendors, organizations, employees, and agencies, as appropriate.

• Utilize accounting software systems such as ADP - Financial Services, Concur, and ERP Solutions to manage accounting functions and process approved invoices.

• Handle discrepancy and expense reporting, ensuring all data processing is accurate and timely.

Requirements • Must possess a minimum of 3 years experience in an Accounts Payable Supervisor or Manager role within the education sector, specifically in a university setting

• Proficient in using Accounting Software Systems for financial management and data processing

• Experience with ADP - Financial Services is essential

• Must have hands-on experience with Concur, ERP Solutions and other related software

• Demonstrated ability to perform accounting functions including accounts payable (AP), check processing and expense reporting

• Proven skills in identifying and resolving invoice discrepancies

• Strong analytical skills and the ability to interpret financial data effectively

• Must possess strong leadership skills and the ability to supervise a team

• Excellent communication skills, both written and verbal, for interacting with stakeholders at all levels

• Demonstrated ability to manage approved invoices and ensure timely payment

• Bachelor's degree in Accounting, Finance or a related field is preferred.
